Sales Administrative Assistant
Reports To: Owner/CFO
Position Summary
The Sales Administrative Assistant supports multiple Account Managers by preparing proposals, presentations, quotes, and various sales documents. This role serves as a key point of contact for both internal sales staff and customers, many of whom may speak Chinese, Korean, or other languages. The position requires strong organizational skills, excellent communication, and the ability to manage a variety of sales-related tasks in a fast‑paced environment.
Essential Duties & Responsibilities
- Prepare documents, reports, spreadsheets, and presentations using Microsoft Excel, Word, PowerPoint, and similar tools.
- Act as a point of contact for Account Managers/Sales Representatives, supporting communication, conference calls, meetings, and document review.
- Provide clerical and administrative support to assigned Account Managers and other team members.
- Maintain Excel spreadsheets and logs for tracking shipments, logistics, new business, and part number documentation.
- Interact with customers, respond to inquiries, and provide requested information.
- Maintain organized electronic and paper filing systems.
- Perform general office duties such as faxing, filing, copying, printer upkeep, basic computer assistance, and phone reception.
- Assist with planning and organizing events, trade shows, meetings, and company outings.
- Perform additional responsibilities as assigned.
Position Requirements
Education & Experience
- Bachelor’s degree preferred; high school diploma or GED required.
- Minimum of 3 years of clerical or sales support experience.
- Automotive industry experience preferred.
- Mandarin Chinese language skills preferred.
Required Skills & Abilities
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word) and ability to learn additional software.
- Excellent verbal and written communication skills; ability to interact effectively with customers, vendors, and internal teams.
- Fluency in English required; Mandarin Chinese or Spanish fluency preferred.
- Strong organizational skills, including the ability to multitask, prioritize, and follow through on assignments.
- High attention to detail and accuracy.
Physical Demands
The employee is regularly required to sit, walk, use hands for office tasks, reach with arms, talk, and hear. Occasional standing, stooping, kneeling, or light lifting (up to 10 pounds) may be required. Visual requirements include close and color vision, peripheral vision, depth perception, and the ability to focus.
Work Environment
This position operates primarily in a quiet office setting. Occasional travel may be required for meetings, events, or visits to customer sites.
